Instagram and WhatsApp sellers ship like any online store, minus the checkout page. Collect a complete address with pincode and an alternate phone number over DM, confirm the pincode is serviceable, take payment by UPI or a payment link where possible, then book the parcel with a courier or shipping platform by entering the order manually or uploading a CSV.
What's different about shipping orders from Instagram?
A website checkout does a lot of quiet work: it forces a pincode, validates a phone number, collects payment and pushes the order to your shipping tool. On Instagram or WhatsApp, you do all of that by hand in a chat. That's where the problems come from: a missing flat number, a pincode that doesn't match the city, a COD order from someone who was only half-interested, or a buyer who never got a tracking link and keeps messaging you asking where the parcel is.
None of this needs a website to fix. It needs a fixed routine for every order, the same way every time.
How do you collect a complete delivery address over DM?
Send one message that asks for everything at once, and don't book the shipment until every line is answered. Save it as a quick reply in Instagram or WhatsApp Business so it takes one tap:
Thank you for your order! To ship it, please reply with: 1. Full name 2. House / flat no., building name, street 3. Area / locality 4. Nearby landmark 5. City and state 6. 6-digit pincode 7. Mobile number for delivery 8. Alternate mobile number Payment: UPI to <your UPI ID>, or we'll send a payment link. Cash on delivery is available on orders up to ₹<limit>, with a ₹<fee> COD charge. We dispatch within <X> working days and will send your tracking link here on WhatsApp.
When the reply comes in:
- Check that the pincode matches the city and state. A mismatch is the most common address error, and sometimes a sign of a prank order.
- Read the address back in one line and ask the buyer to confirm it.
- Make sure the delivery number is reachable and isn't the same as the alternate.
- Paste the confirmed details into a sheet or your shipping tool straight away, not at the end of the day.
How do you check if a courier delivers to a pincode?
Before you confirm payment or quote a delivery time, run the pincode through a pincode serviceability checker. Check three things: whether any courier delivers there, whether COD is available on that pincode (it isn't everywhere prepaid is), and whether it falls in a special zone such as the North-East, J&K or the islands, where delivery takes longer and costs more. If only one courier serves a remote pincode, tell the buyer the realistic timeline upfront.
Should Instagram sellers offer COD?
Offer it carefully. A COD order on Instagram costs the buyer nothing to place, so some buyers order on impulse and refuse at the door. When that happens you pay forward freight, return freight, and sometimes a COD fee, and get nothing back. Prepaid orders through UPI or a payment link don't carry that risk.
| Factor | Prepaid (UPI or payment link) | COD |
|---|---|---|
| When you get the money | Before you ship | After delivery, plus the remittance cycle (commonly D+2 to D+8) |
| Extra cost per order | Gateway fee on payment links; direct UPI transfers are typically free | COD fee, usually the higher of a flat amount or a % of order value |
| Refusal at the door | Rare; the buyer has already paid | More likely; you pay freight both ways |
| Fraud to watch for | Fake payment screenshots; check your bank or UPI app before shipping | Prank or fake orders placed with no intent to pay |
| Best for | Most orders, repeat buyers, higher-value items | First-time buyers who won't prepay, with an order value cap |
Middle-ground options work well on social: a small prepaid discount, or partial COD where the buyer pays a token amount upfront and the rest on delivery. Our guide to converting COD to prepaid covers both, and the signs of a fake order are in how to spot fake COD orders. How do you book a courier without a website?
You don't need a Shopify store or any integration. Shipping platforms accept orders typed in one at a time or uploaded together from a spreadsheet:
- 1Sign up on a shipping platform or with a courier, complete KYC (typically PAN, an ID proof and a bank account) and add your pickup address.
- 2For a few orders a day, create each one manually: buyer details, pincode, order value, payment mode.
- 3As volume grows, keep orders in a spreadsheet in the platform's CSV format and upload the whole day's batch at once.
- 4Weigh and measure each packed parcel and enter the dimensions; couriers bill on the higher of actual and volumetric weight.
- 5Compare couriers for each pincode and book. This generates the AWB number and shipping label.
- 6Print labels, stick them flat on the box, and generate the manifest for the day's pickup.
- 7Hand over the parcels, making sure the pickup agent scans each one.
- 8Copy each tracking link back into the buyer's chat the same day.
If your social following turns into a proper store, the same routine carries over; our page for D2C brands covers what changes once orders flow in from a website.
What packaging do social sellers need?
- Two or three box or mailer sizes that fit your products snugly, so you don't pay for air in volumetric weight.
- Cushioning for anything fragile, and a waterproof inner bag for clothing and paper goods.
- Tamper-evident tape or a branded seal, so a buyer can see the parcel hasn't been opened in transit.
- A thank-you card with your Instagram handle and WhatsApp number, which also helps if the buyer needs to reach you about a return.
How should you share tracking and handle returns?
Send the tracking link as soon as the parcel is picked up, with the courier name and AWB number. Buyers who can see where their parcel is message you less, and they're more likely to pick up the courier's call. Buyers can also check any AWB on universal tracking.
For returns, pin a short policy in a highlight and send it with every order confirmation: what can be returned, within how many days, and whether you offer exchange, store credit or refund. Some social sellers ask for an unboxing video to accept damage claims; if you do, say so before the order is placed. When you approve a return, book a reverse pickup through your courier or platform and inspect the item before you refund.
Frequently asked questions
There's no single best courier for every Instagram seller, because coverage, price and delivery success vary by pincode and parcel weight. Social sellers usually ship to buyers spread across India, so a shipping platform with several couriers on one account helps: you compare options for each pincode instead of being tied to one courier's network.
Yes. Shipping platforms let you create COD orders manually or by CSV upload with no store integration. Mark the order as COD and enter the amount to collect; the courier collects cash on delivery and remits it to you after the remittance cycle. Check COD availability on the pincode first, and consider a value cap for first-time buyers.
Once the shipment is booked and picked up, copy the tracking link or AWB number from your courier or shipping platform and send it in the buyer's chat with the courier name. Some platforms send tracking updates to the buyer automatically, which saves you from answering where-is-my-order messages one by one.
Not automatically. Selling only within your own state and staying under your state's turnover limit generally doesn't require registration. Shipping goods to a buyer in another state is an inter-state supply, which needs registration at any turnover. Our guide on [selling online without GST](/blog/ship-without-gst-india) explains the limits; confirm your case with a CA.
